Purpose:
- To help provide a high quality service to the Clients for which your cell is responsible, helping to ensure all deliverables are met.
- Expected to help improve the processes and efficiencies of the cell and department.
- Obtain the key skills to become future Client Services Accountant.
Responsibilities:
- Responsible for preparing work to agreed internal deadlines to a standard that is suitable for a first review
- Ensuring that adequate training has been received and support provided in order to complete the role and be proactive in defining areas needing attention or support
- Knowledge of designated clients including understanding the key points of the LPA, Fee Agreements and SLA’s
- Knowledge of Client deliverables and early escalation of issues to Direct Report
- Minimise risk to Augentius by following procedures and checklists
Tasks/Duties:
Client Delivery
- Deliver quality information to agreed timeframes
- Attend relevant client meetings to build profile with client
- Prepare accounts to agreed internal deadlines to a standard acceptable for first review
- Calculate and prepare Drawdown and Distribution notices in accordance with agreed internal deadlines for 1st review
- Prepare ad hoc analysis for review (all requests to be responded to within 24 hours)
- Prepare client KPIs for first review by cell Accountant
- Ensure all client queries are appropriately responded to
- Initiate payments and amendments to standing data with the data processing team
- Help in Annual audit process
- Perform weekly bank reconciliations on all client bank accounts
Augentius Fee Processes
- Prepare monthly invoices in accordance with fee agreements and on a timely basis
- Accurate daily completion of Mytime for all hours worked
Systems
- Understand and use best practice on Investran, use Active Templates where possible
- Understand how to generate and distribute packages using Reporting Services
- Understand and use best practice in ART when producing accounts
- Use Report Wizard to improve efficiency and reduce manual reporting
Risk
- Ensure relevant procedures and checklists are adhered to and completed to minimise risk of errors
- Report any breaches, complaints or errors to Accountant and Compliance officer promptly
- Draft error reports, identifying areas of operational risk and proposing appropriate remedial actions within 24 hours of identifying the error
Other
- Undertake any additional reasonable requests as deemed by the firm.
Qualifications and Experience Required for this Role
Essential
- Successfully completed a level 2 of ACCA or Professional Managerial level of CIMA or have equivalent experience
- Intermediate Excel skills
- Experience of providing financial information for review
- Excellent organisational, prioritisation and interpersonal skills
- Comfortable communicating with individuals at senior levels
- Strong ownership of tasks
- Can do attitude, ability to cope with tight deadlines and working under pressure
- Strong team ethic
Desired
- Knowledge of the industry is desirable but not essential
- Advanced Excel skills

Purpose:
- To ensure that your team service your clients as effectively as possible by making sure that staff are adequately trained and understand their roles and responsibilities. Provide support to your team to ensure deliverables are met and clients are happy with the service provided.
- Be a point of escalation for clients and Accountants. Responsible for motivating your team and helping to plan career paths for team members.
- Improve the department’s processes to ensure the department is continually moving forward.
Responsibilities:
- Responsible for overseeing the smooth running of relationship with designated clients
- Ensuring that the team receive constructive support and are trained adequately to complete their role
- Assist and resolve issues arising in work carried out by Client Services Accountants
- Perform second reviews of designated client accounts and for other teams as required
- Perform second review of all fees to ensure they are raised accurately and to ensure these are collected swiftly by Accountants
- Actively identify ways of improving the efficiency and minimising the risk to Augentius
- Be a role model to Client Services staff
Tasks/Duties:
Client Delivery
- Manage team (in particular Client Service Accountants) to provide a quality service to the Team’s clients
- Ensure that second reviews are completed on files and where necessary also first reviews (although Client Service Accountants are expected to do the majority of first reviews)
- Ensure Accountants are managing work and resources to hit deadlines as per quarter end timetables
- Perform second review of KPIs to ensure they are developed, implemented and reported quarterly in accordance with SLAs
- Have oversight of the audit process and tax reporting process, ensuring that both are completed smoothly for designated clients
- To be the first point of escalation for client queries and ensure these are effectively managed through to resolution
- Ensure Accountants are maintaining regular contact with clients through weekly phone calls and weekly emails detailing upcoming deliverables
Management of Team
- Delegate appropriate levels of work to ensure staff are fully utilised
- Ensure that Team is working at 100% capacity
- To understand the strategic direction of the department and implementation of associated plans and projects
- Plan workloads and utilise support team / additional resources where necessary to ensure deadlines are achieved
- Prepare monthly report detailing progress of team for board report
- Conduct all Return To Work interviews for direct reports on their first day back from illness
- Conduct appraisals, agree Personal Development Plans and set objectives of direct reports in agreed timescales. To ensure this is also met for all team members
- Plan for continuity, ensuring that the department has strength in depth to cover for any absence of staff
Augentius Fee Management
- Ensure Invoice cycle (including authorisation and collection) is efficient and completed within agreed timetables
- Review Mebill entries to ensure that Mebill is being updated accurately on a daily basis by all members of the team
- Mytime completed accurately and daily, responsible for checking that direct reports are also completing Mytime for all hours worked
Systems
- Understand and use best practice on Investran, Reporting Services, understand Active Templates and data structure
- Ensure the cell is using ART appropriately to produce accounts
- Develop Report Wizard and other systems to improve efficiency and reduce manual reporting
Personal Development
- Agree personal development plan with line manager including dates of review and act upon accordingly
Risk
- Ensure relevant procedures and checklists are adhered to by staff to minimise risk of errors
- To ensure a strong culture exists within the team to correctly follow all procedures and checklists
- Resolve client issues swiftly and effectively to minimise financial or reputational risk to Augentius
- Report any breaches, complaints or errors to Line Manager and Compliance officer promptly. Ensure compliance report is kept up to date
- Ensure action points from Internal Audit are cleared
Qualifications and Experience for this Role
- 3 years post qualified Accountant or qualified by experience
- Strong Excel skills including understanding best practices in reviewing financial models
- Strong knowledge of Private Equity Industry and Fund Administration Sector
- Experience of providing services to multiple clients and managing client relationships
- Excellent organisational, prioritisation and interpersonal skills
- Experience of managing staff

Responsibilities:
- Responsible for ensuring the smooth running of day to day relationship with designated clients
- Ensuring that adequate training has been received and support provided in order to complete the role and be proactive in defining areas needing attention or support
- Ensuring that direct reports receive constructive support and are trained adequately to complete their role
- Be an ‘expert’ on designated clients including understanding details of their LPA, SLA, Fee Agreement and any technical nuances
- Perform first review of all fees to ensure they are accurately raised and to ensure swift collection

Augentius Fee Management

- Ensure our electronic time sheets (Mytime) are completed daily, responsible for checking that direct reports are also completing Mytime accurately for all hours worked
Systems
- Understand and use best practice on Investran (accounting platform)
- Ensure the team understands and makes best use of the functionality in our software when producing accounts
- Ensure Client database is up to date and accurate in Investran
Risk
- Ensure relevant procedures and checklists are adhered to by staff to minimise risk of errors
- Report any breaches, complaints or errors to Compliance officer promptly
- Ensure all error reports are completed for review by the Team Leader on the day an error is identified
Other
- Undertake any additional reasonable requests as deemed by the firm
