Reporting directly to the Client Services Manager of AFA/ATC(G)L Guernsey (but also working on assignments allocated by more Senior Staff members) and responsible for the following tasks:
- Responsible for a portfolio group of clients in terms of the day to day administration of their entities as assigned by the Client Services Manager.
- Responsible for managing other Administrators working on the same client portfolio.
- Responsible for managing the client relationship which involves effective communication with the client, negotiating timelines for deliverables and meeting deadlines set.
- Attending Client Relationship Management (CRM) meetings and writing up Call Reports afterwards and following up on action points.
- Responsibility for client reporting, both periodic and ad hoc and the timely dispatch of call and distribution notices plus quarterly and annual accounts for those clients within the assigned portfolio.
- Responsible for the filing of annual accounts with the GFSC by the due dates for those entities within the assigned portfolio.
- Manage work load efficiently and ensure that tasks are performed in a timely manner.
- Responsibility for the administration of payments of third party invoices and the maintenance of accurate invoice logs for the assigned portfolio of clients which would also include ensuring that payments sent to the DPT team are processed in a timely fashion.
- Responsibility for communicating regularly to London for the portfolio of clients and ensuring that supporting documentation for transactions is sent to London in a timely fashion.
- Responsible for the collation of KYC from investors and liaising with the Compliance Officer on outstanding items in a timely fashion.
- Timely responses to Investor queries and management of this process to ensure satisfaction of both client and the investors.
- Responsibility for managing the process for uploading and maintaining Investor details which is performed by DPT in London but overseen by Guernsey for the assigned portfolio of clients.
- Regular communication between the Client Services team on deliverables.
- Completion of a variety of tasks for a diversified client base within the AFA /ATC(G)L client delivery platform. For this specifically assigned client base, these tasks may include involvement on the delivery of all contracted services to clients.
- Responsible for the provision of cover for other Administrators’ during staff vacations / illnesses.
- Audit / tax reporting – Liaising with Auditors for assigned client base, ensuring that assigned tasks are completed on a timely and cost effective basis.
- Any other outsourced services – for assigned tasks as outlined in AFA/ATC(G)L operating procedures, must ensure that these are all completed on a timely, professional and cost effective basis.
- Assist on client deals with review of and collation of documentation and Board meetings. This may involve working outside of core hours.
- Involvement with new Fund launches and preparing documentation for submission to the GFSC.
- Act as a project manager for the launch process.
- Involvement with the listing of clients including the preparation of documents on the CISX.
- Involvement with the review of constitutional documents while they are in their draft stage.
- Assistance with drafting fee proposals and negotiating follow on business.
- Attend board meetings and present the Client Services Administration Report.
- Work towards the team’s Key Performance Indicators.
- Other ad hoc projects as and when they arise.
- Provide support, assistance and training to Administrators as required.
- Performing a first review of other Administrators work.
- Provide assistance with recruiting new Administrators when required.
Risk Management
- Be familiar with local legislation relating to drug trafficking, money laundering, terrorist financing and any other legislation that impacts on the conduct of fiduciary business within the jurisdiction.
- Report complaints, operational risks, suspicions etc in accordance with the procedures for AGA and ATC(G)L.
- Develop an awareness and ability to avert potential risk issues for both clients and AFA & ATC(G)L.
- Respond promptly to risk review queries/action points.
- Ensure that procedures are adhered to by Administrators.

Financial Management

Complete timesheet accurately and promptly (n.b. time actually spent on task not what “ought to” have been spent – objective vs. subjective measurement) and understand the relationship between accurate billing of time and invoicing clients.

Constantly strive to minimise the cost of delivery whilst always ensuring that the service provided meets AFA/ATC(G)L’s professional standards.
Personnel Management
- As requested, assist with the coaching and development of new and junior members of staff.
- Play an active part in staff meetings.
Personal Development
- Attend seminars and workshops to enhance professional and technical knowledge.
- Identify areas to improve own knowledge and skills and actively seek assistance.
- Constantly review and, where necessary, re-prioritise own activities.
- If professionally qualified, maintain evidence of continuing professional development for example for ACCA at least 40 units of CPD activity per annum or which 21 units must be verifiable or required amount from relevant professional body.
Skills & Knowledge
Key areas are as follows:- Bookkeeping and accounts – understands the principles of double entry bookkeeping and is able to read and critically review understand a set of company accounts or other financial reports.
- Company Law and administration – understands the principles and practices of fiduciary services practice.
- Taxation – has a broad understanding of tax issues and jurisdictions.
- Financial awareness – understands the principles of managing financial assets.
- Relationship management – able to develop strong relationships with clients and intermediaries in the area of wealth management.
- Commercial awareness – has a broad knowledge of the market in which AFA/ATC(G)L operates.
- Risk awareness – able to recognise and respond to risk situations and stays up to date with appropriate legislation and professional standards.
- IT literacy – uses AFA/ATC(G)L IT systems and other appropriate software packages effectively.
- Communication – demonstrates good listening and questioning skills and has strong spoken and written communication.
- Teamwork – consistently volunteers and “pitches in” to help other team members who are under pressure.
- Leadership – able to inspire others through own actions and behaviour.
Professional Qualifications & Minimum Relevant Experience
The holder of this position should be educated, as a minimum, to A’ level standard and preferably to degree level. The holder of this position should be studying for or prepared to commence a professional qualification such as ACCA or ICSA or be qualified by relevant experience. The post holder should have a minimum of 2 years experience in financial services.
